The Principal is responsible for ensuring that all PTA activities are serving the best interest of the school, teachers, staff, parents and students.

 

President: Karin Patel

The President is responsible for general oversight of all board activities and determination of annual goals. It is the President’s responsibility to uphold the bylaws of the board and ensure that all functions and activities are appropriate and in-line with the board’s mission and goals.

In addition, the President must obtain agenda items for board meetings, lead board meetings (historically scheduled for the 2nd Thursday night of the month via Zoom), meet and/or communicate with School Board representative, and meet with the Principal regularly. The President should communicate with teachers, coordinate their requests and keep them updated regarding the PTA budget and goals for the year. They should check in with committee/subcommittee chairs regularly for updates, concerns, and keep them on track.

In addition, the President should represent the board at events, and speak to the general body at various events.

 

Vice President: Amelia Boschen

The Vice President is responsible for supporting the President and agreeing to serve should the President no longer be able.

The Vice President will assist in the recruitment of board members for following year. They will recruit a nominating committee (at least 3 individuals) and present the executive committee slate (president, P-E, VP membership, VP programs, treasurer, secretary) to general membership at a meeting at least 30 days prior to voting meeting (which takes place in May). Voting meeting will be whatever PTA meeting is prior to the PTA Board budget meeting.

 

Secretary: Kristin Abner

The Secretary is responsible for taking meeting notes, providing typed notes for review to all board members prior to the next meeting (ideally within 2 weeks of the prior meeting) and posting approved notes on PTBoard for public consumption.

 

Treasurer: Robyn Timmons

The Treasurer maintains of all the funds and keeps a full and accurate account of receipts and expenditures. They make disbursements as authorized by the President, executive board, or association in accordance with the budget adopted by the association.

The Treasurer remits:

  • by December 1, to the Virginia PTA state office, state and National PTA dues for memberships received prior to December 1

  • by March 1, dues received after December 1

  • by June 30, all state and National dues received after March 1

The Treasurer ensures checks or vouchers signed are by two (2) officers.

The Treasurer presents a written financial statement at every meeting of the association and at other times when requested by the executive board.

The Treasurer analyzes the budget to see if any amendments need to be presented to the general membership for approval (any amounts over $300) and prepares an annual financial report at the close of the fiscal year.

The Treasurer has the accounts examined according to the auditing procedures outlined in Article VI and submits a copy of the fiscal year-end audit to the state office within thirty (30) days following the adoption of the audit by the membership. They also ensure that when a local unit is required to file a 990 or 990EZ per IRS regulations, a copy of the 990 or 990EZ report is also forwarded to the state office upon its completion.

It is the Treasurer’s responsibility to update the signature card at bank, prepare a proposed budget for the year ahead, create balanced budget (budgeted out same as budgeted in; move extra expenses to reserve spending), close books June 30 and audit: encourage reimbursement requests for last year’s budget prior to mid-June and work with changes and any further research on budget during summer if there are outstanding questions regarding budgetary items.

The Treasurer must review the audit before the September meeting presentation,

coordinate reimbursements; confirm allocations are to the correct budget line item, and follow-up re: 501c3 document which expires each 12/31.

 

Membership: role will be fulfilled by VP

The Membership Chair promotes PTA membership, lets people know how to join the PTA, and tries to ensure a membership opportuniity is provided to all families.
The Membership Chair should plan a recruitment schedule and coordinate access to membership. They will collect funds that come in thru cash and checks for PTA membership and send to Treasurer.

The Membership Chair must update officers online to VA PTA by 6/15 of each year. They must also maintain a list of member names and contact info for the State and National PTA and provide membership updates to each organization in a timely fashion. Submission of required funds from our membership collections to the state PTA office is required on or before 12/1, 3/1, 6/30 each year.

 

Communications Chair: Kelly Condo

Social Media Coordinator: Katie Howlett
The Communication Chair is responsible for ensuring that all PTA events are communicated to families in a timely and appropriate manner. This may include PTBoard announcements, Instagram posts, Facebook posts, newsletters, and other communications as needed.

The Communication Chair is responsible for ensuring that all communications are appropriate and consistent, and gauging whether or not other avenues of communication may be required.

The Communication Chair is responsible for working with the VP to maintain the PTBoard site.

 

Volunteer Coordinator: Lindsay Horning

The Volunteer Coordinator is responsible for gathering all volunteer needs for the year, posting the jobs to PTBoard and working with the Communications Chair to advertise and fill these positions. 

 

Programs & Events Chair: OPEN

The Program & Events Chair is responsible for determining and coordinating PTA support needed for monthly Hill Program Nights, traditionally held on the 3rd Thursday of the month. Support may include, but is not limited to, dinner coordination, price negotiations, donation requests, advertisement of the event, communication of volunteer needs to work the event, coordination of food orders and distribution, A/V support, event set up and post-event clean up.

The Chair is also responsible for the planning, oversight and execution of approximately 2-3 community events each year (Fall, Winter and Spring). These events are opportunities for the Hill community and the larger community to interact and also provide opportunities for RPS families not enrolled at Hill to engage with the Hill community. Examples of previous events include the Pumpkin Carving event, Pack-A-Picnic, and Outdoor Movie Night.

These events may involve coordination of street closures, vendor contract and coordination, volunteer organization, event decoration, set up and post-event clean up.

 

Interior Beautification Chair: Deena Ferguson

The Interior Beautification Chair proposes, oversees and executes at least 1 Interior Beautification Project each year. The Chair must ensure that budget priorities are clearly presented to the board and that once approved are executed to completion.

 

Exterior Beautification Chair: Karen Kelly

The Exterior Beautification Chair proposes, oversees and executes at least 1 Exterior Beautification Project each year. The Chair must ensure that budget priorities are clearly presented to the board and that once approved are executed to completion.

 

Teacher Appreciation: Jenny Konstantinos

The Teacher Appreciation Chair plans, organizes, and executes teachers and staff appreciation meals in the weeks prior to school starting, gifts throughout the year, as well as Teacher Appreciation Week events.

 

Fundraising Chair: Kate Boyles

The Fundraising Chair is responsible for general oversight of all fundraising activities. They should check in with the Treasurer often, ensure all details are in place for upcoming fundraising events and that all funds are appropriately handled.

The Fundraising Chair is also responsible for oversight of the Retail, Grocery and Box Tops for Education Programs. This includes the promotion of the program to families, coordination or volunteers needed to execute the program, collection of box tops and submission by the deadline and ensuring funds are received and provided to the Treasurer in a timely fashion.

Merchandise Chair: Jennifer Gragnani

The Merchandise chair is responsible for identifying appropriate merchandise to sell, negotiating pricing and purchasing of merchandise, maintaining current inventory numbers and supply, communicating volunteer needs to sell merchandise at school events. In addition, this chair should organize the set up and take down of all merchandise sales events, fill and distribute online PTBoard orders in a timely manner, and manage organization of merchandise to facilitate ease of inventory and order fulfillment. The merchandise chair should coordinate with the Treasurer to ensure there is cash in the cash box if required for purchasing

Spirit Nights Chair: Kaylei Prevard

The Spirit Night Chair is responsible for identification of appropriate Spirit nights locations and events, negotiation of terms with vendors, advertisement of events, oversight of events, and ensuring that funds are collected from the vendor post-event. Typically, 1 spirit night is offered each month of the school year.

Fall Fundraiser Chair: Kate Boyles

The Fall Fundraiser Chair is responsible for coordinating the fall fundraiser - planning and coordinating the event; drafting solicitation letters, marketing materials, and thank you notes; ensuring donation forms are ready on PTBoard; ordering any prizes or incentives; and any other activities necessary to execute the fall fundraiser.

The Winter Party Chair is responsible for planning and executing the Winter Party in early February. This includes choosing a venue, planning the food and drink, handling decor, and coordinating the raffle.

Yard Sale Chair: Becky Sirpis + Katherine Jones

The Yard Sale Chair is responsible for coordinating the spring yard sale - coordinating storage of items, planning and getting volunteers to staff drop-offs, organizing and pricing items, planning and staffing day-of events and coordinating logistics, planning communication and advertising. A yard sale committee that starts meeting at the beginning of the year is advised.

 

 

Community Service Chair: Corey Widmer

The Community Service Chair is responsible for researching and promoting off-site community service opportunities to the Hill community. In addition, this position would plan 2 large group off-site community service events per year - one in the fall and one in the spring - that would be offered to students at Albert Hill. This would involve recruiting parent chaperones for each event and working with Ms. Ivy to secure transportation from RPS.

 

Athletics Liaison: Robby Demeria

The Athletics Liaison is responsible for helping fulfill the needs of the athletic program. This position works closely with the athletic director to ensure the teams and participants have the uniforms and supplies they need for every season. The position also helps plan the athletic banquets.

 

Teacher Liaison: Dale Harter

The Teacher Liason position is filled by a current Hill teacher and is responsible for bringing teacher and staff concerns to the board as well as sharing information from board meetings/events with teachers and staff. This chair should attend all board meetings, when possible and represent the general teacher and staff opinion in discussions/decision making.

 

Tiger Rallies Chair: Catherine Irby

The Tiger Rallies Chair is responsible for supporting the school in the Fall Tiger Rally, the Spring Tiger Rally, and the Tiger Turn Up at the end of the year. This involves working with the school contact (usually a teacher) to determine needs, both supplies and volunteers, and ensuring those needs are met prior to the event. The Chair will communicate with volunteers in advance and should be on-site during each event to help coordinate; if unable to attend, they should assign a point person who will be present.

 

Government Relations Chair: OPEN

The Government Relations Chair is responsible for being the point of communication between the Hill PTA and our School Board member and City Council member. This may include submitting a grant request to City Council for a school need, reaching out to the city to request street closure, or anything else related to the PTA’s relationship with the city.

 

Museum District Liaison: Amelia Boschen + Boz Boschen

The Museum District Liaison is responsible for being the PTA’s connection to the Museum District. This includes keeping the Museum District up to date on all things happening at Albert Hill and fostering a deeper relationship between the neighborhood and the school.
